Privacy policy

This policy explains how personal data is processed when you use CoachBoard, in accordance with Regulation (EU) 2016/679 (GDPR) and the French Data Protection Act.

Data processed
We only process data that is necessary to provide, secure and improve the service, in particular:
- Identity and account: first name, last name, email address, profile photo, role (coach or student), authentication data
- Activity on the platform: courses, lessons, exercises, submissions, studies, student games, calendar events, live sessions, messages and files uploaded by users
- Payments: handled by Stripe. We do not store full payment card numbers. We may retain subscription status and billing metadata
- Technical data: connection logs, security events, abuse prevention and diagnostics
- Optional AI features: when a user actively uses them, the minimum content needed to generate the answer may be sent to our provider (OpenAI). These features are optional and disabled by default
Purposes and legal bases
- Providing the service and managing the account: performance of the contract
- Billing, invoicing and accounting: performance of the contract and legal obligations
- Security, prevention of abuse, maintenance and improvement of the service: legitimate interest
- Audience measurement or non-essential cookies, if activated: consent
Recipients
Data may be processed, on our instructions, by:
- Supabase (database and authentication), with hosting in the European Union
- Vercel (application hosting)
- Stripe (payments and customer billing portal)
- Resend (transactional emails)
- OpenAI (optional AI features, only when used)
We do not sell personal data and we do not share it for third-party advertising.
Transfers
Some providers may process data outside the European Economic Area. Such transfers rely on appropriate safeguards, in particular the European Commission’s Standard Contractual Clauses.
Access by the publisher
In the product, each coach only sees their own courses, students and content. Each student only sees what their coach shares with them.
Operational access
The publisher may process the following, only as needed to operate, secure and support the service:
- Account data: name, email, profile photo, role
- Technical data: logs, security, diagnostics
- Subscription status and billing metadata provided by Stripe
Content review
Under no circumstances does the publisher consult the files or the content of any user (courses, lessons, exercises, studies, messages, uploaded files, saved live replays). These items are hosted so the service can function; they are not read or watched by the publisher.
Inaccessible data
The publisher cannot access:
- Full payment card numbers, processed exclusively by Stripe
- Passwords in plaintext: authentication is handled by our provider and passwords are stored hashed
- Live audio and video streams, which travel peer-to-peer between participants. The publisher does not receive or watch them
Retention
Account data is kept for the life of the account.
Billing data is kept for the period required by accounting and tax law.
Technical logs are kept no longer than necessary for security and diagnostics.
Upon account deletion, data is deleted or anonymised within a reasonable period, except where a longer legal retention period applies.
Security
We implement measures appropriate to the risk, including encrypted connections, access controls and hashed storage of passwords. No method of transmission or storage is entirely secure.
Your rights
You may request access, rectification, erasure, restriction, objection (where applicable) and portability. You may withdraw consent at any time, without affecting processing already carried out.
No decision producing legal effects is based solely on automated processing.

Cookies
Essential cookies are required for authentication and the proper operation of the service. If an analytics tool is enabled, it is used only with your consent, via the cookie banner.
Minors
CoachBoard is intended for chess coaches and their students. Accounts for persons under the age of majority must be created or supervised by a responsible coach or legal guardian. See the Young users page.
Changes
This policy may be updated. The date above is the date of the current version. Material changes will be brought to users’ attention through the service or by email.
